CHILD/MINOR TRAVEL CONSENT POLICY

Mazala Travel is operated by Digital Consulting Service LLC, a company registered in Mongolia, with invoicing managed by Mazala Limited, a private limited company incorporated in Hong Kong. This policy outlines the requirements and conditions for the participation of minors (defined as individuals under the age of 18) in any Mazala Travel tours, activities, or related services.
By booking a service involving a minor, you agree to comply with the terms set forth below.
1. GENERAL POLICY ON MINORS
Mazala Travel welcomes travelers of all ages but applies additional policies and requirements for minors to ensure:
- Their safety and well-being
- Legal compliance with Mongolian, Hong Kong, and international travel regulations
- Smooth coordination with border authorities and service providers
2. DEFINITION OF A MINOR
A minor is any individual under the age of 18 years at the time of travel, unless a higher age of majority is established by the jurisdiction of residence.
3. TRAVEL WITH PARENT OR LEGAL GUARDIAN
Minors traveling with both parents or legal guardians are typically not required to provide additional documentation unless:
- Required by the destination country
- Booking includes overnight stays in rural or nomadic environments
Parents must still:
- Acknowledge responsibility for the child’s health, behavior, and safety
- Ensure the child complies with group guidelines and activity participation requirements
4. TRAVEL WITH ONE PARENT OR GUARDIAN
If a minor is traveling with only one parent or guardian, a signed notarized consent letter from the non-accompanying parent/legal guardian is strongly recommended and may be legally required when:
- Crossing borders into Mongolia or another country
- Participating in homestays or extended group activities
- Attending school exchange or youth programs
The letter should include:
- Full name and passport details of both parents
- Full name and passport details of the accompanying adult and the minor
- Travel dates, destination(s), and contact information
- Statement of consent from the non-traveling parent or legal guardian
5. TRAVEL WITH NON-PARENT OR THIRD PARTY
If a minor is traveling with a relative, friend, teacher, or tour chaperone, a notarized Parental/Guardian Consent to Travel Letter is required and must be submitted to Mazala Travel at least 14 days before departure.
This document should:
- Authorize the named adult to travel with the minor
- Provide permission for emergency medical treatment
- Be signed and dated by both legal guardians (if applicable)
Failure to provide this document may result in:
- Denial of booking or activity participation
- Non-refundable cancellation fees
6. MEDICAL AUTHORIZATION FOR MINORS
A Medical Authorization Form is required for all unaccompanied minors or minors not traveling with a parent. It authorizes Mazala Travel to:
- Seek and approve emergency medical care
- Disclose medical information to relevant authorities or providers
- Contact the parent/guardian in urgent situations
This document is used only in emergencies and treated with full confidentiality.
7. BEHAVIOR AND PARTICIPATION
Parents or accompanying adults are responsible for ensuring that minors:
- Follow guide instructions and group rules
- Exhibit respectful behavior toward local cultures and customs
- Participate only in age-appropriate and medically suitable activities
Mazala Travel reserves the right to limit a minor’s participation in any tour segment that may be deemed physically or emotionally inappropriate.
8. AGE RESTRICTIONS BY ACTIVITY
Some activities have age minimums for safety or regulatory reasons. These may include:
- Horseback riding: minimum age 6
- Mountain trekking: minimum age 10
- Nomadic homestay: minimum age 12
- Camel riding or desert camping: minimum age 8
Age limits will be clearly stated in the itinerary or trip notes.
9. DOCUMENTATION CHECKLIST FOR MINORS
Before departure, we recommend preparing the following documents:
- Minor’s passport (valid for 6+ months)
- Visa (if applicable)
- Copy of birth certificate or national ID
- Consent to Travel Letter (notarized if traveling without both parents)
- Medical Authorization Form
- Emergency contact list (parents/guardians)
These documents should be carried in original or certified copy form and may be required by immigration, airline, or hotel staff.
10. LIABILITY AND WAIVER
By allowing a minor to participate, you agree to:
- Release Mazala Travel, its operators, and affiliates from liability related to supervision, behavior, or health outcomes of the minor
- Accept that we may remove a minor from an activity for safety or conduct reasons without refund
